Type of Contract: Service contract
Duration: 1 Year (Subject to renewal upon satisfactory performance).
Duties and Responsibilities
Under the supervision of the head of the federal liaison office, Abuja the Secretary provides functional administrative support to the UNFP Federal Liaison office, while ensuring the consistent delivery of quality services in correspondences, records and logistics management for effective programme delivery in the Federal Liaison office. The Secretary performs the following functions;
Arranges appointments and maintains supervisors’ calendar, receives visitors, places and screens telephones calls and answers queries with discretion for the Head and Programme Officers;
Arranges meetings, both internal and external, some involving high ranking official, and takes minutes and /or notes at meetings;
Takes dictation using shorthand on a variety of subject matters and transcribes and reports.
Receives, screens, logs and routes correspondence, attaches necessary background information and maintains follow-up actions;
Drafts correspondences and ensures follow – up actions;
Establishes and maintains files and documents for the Liaison Office.
Clears correspondence for conformity with established procedures and accuracy of statements before being signed by supervisors.
Establishes and maintain lists of name, address and telephone numbers of counterparts in Government, NGOs, private sector, diplomatic corps and donor organisations.
Makes travel arrangements for the Head of the Liaison office and other programme officers.
Prepare offer letters to the travel agents for issuance of air-ticket, facilitate confirmation of tickets and follow-up on the settlement of air ticket bills.
Establishes and maintains a logging system for staff assignments and completed assignments.
Ensures that office equipment are in working condition.
Assists the Liaison partners and the general public with requests for programme information or materials in collaboration with the programme officer.
Establishes and maintain leave reports for staff in the Laison office.
Performs other duties as required by the Head of the Office and Programme Officers.
Qualifications and Experience
The Ideal Candidate should;
Be a Nigerian National (Male or Female) residing in Abuja
Have HND or First degree in Secretarial Studies or its equivalent.
Have a minimum of 5 years work experience in public and / or private sector.
Have the ability to work in a multi-cultural environment. Professional qualifications will be an added advantage and work.
Have a strong capability to communicate clearly and concisely in both oral and written English.
Have excellent communication and human relation skills.
Have the ability to work under pressure.
Have proficiency in current office software applications.
DRIVER (3 Post or subject to available vacancies in each zone)

Duty Post: ABUJA
Type of Contract: Service contract
Duration: 1 Year (Subject to renewal upon satisfactory performance).
Duties and Responsibilities
Drives office vehicles for the transport of authorised personnel and delivery and collection of mail, documents and other items;
Meets official personnel at the airport and facilities immigration and customs formalities as required.
Responsible for the day-to-day maintenance of the assigned vehicle, checks oil, water, battery, brakes, tyres etc, performs minor repairs and arranges for other repairs and ensures that the vehicle is kept clean.
Logs official trips, daily mileage, gas consumption, oil changes, greasing e.t.c.
Ensures that the steps required by rules and regulations are taken in case of involvement in accident.
Report to the Liaison Office Accountant any fault detected in any of the UNFPA vehicle.
Photocopy mails and other official documents as may be required in the office or during workshops/seminars.
Distributes mails as appropriate to all staff within the office and to government and NGO offices directly involved with UNFPA in the implementation of the Country Programme.
Facilitate the procurement of visas from embassies in the FCT for staff members, Government officials, travelling abroad for meetings and other official engagements.
Assists with the official travel in other facilitate efficient tracking and monitoring.
Performance other duties s required by the Head of the Liaison Office and Programme Officers.
Qualifications and Experience
The Ideal Candidate should;
Be a Nigerian National (Male or Female) residing in Abuja
Possess at least Primary School Leaving Certificate.
Possess valid professional driving license and trade test certificate
Have the ability to read and write English
Ability to use the computer will be an advantage
Have a minimum of 5 years professional driving experience with a reputable organisation work experience with United Nations Agencies will be an advantages
